Close The Loop Tool - Release Notes

Daily Report Email Failure Resolved Bug Fix
    • Fixed an issue where the daily report generation process was failing due to a database connection error during email sending.
    • The report now successfully generates and emails as expected without interruption.
    • Improved error handling ensures temporary DB connectivity issues do not stop the entire report process.
Optimised Logging Behaviour (Reduced Log Noise) Improvement
    • Previously, identical errors, warnings, or informational messages were repeatedly logged.
    • Updated logging logic now ensures that the same message is logged only once per day.
    • This significantly reduces log file size and improves readability during troubleshooting.
    • Helps support teams identify unique issues faster without repeated noise.
Improved Configuration Management for Request Monitoring Enhancement
    • Configuration for monitoring NEW and COMPLETED request types has been reorganised into separate sections for better clarity and control.
    • Councils are now expected to manage these settings via the ControlHub Portal instead of configuration files or backend changes.
    • This improves:
      • Usability (centralised configuration)
      • Maintainability (no manual config edits)
      • Governance (controlled access via portal)
    Note:

Notes for Support / Deployment Team
    • Ensure ControlHub portal access is available to relevant council administrators before rollout.
    • No database schema changes required for this release (unless previously bundled in deployment scripts).
    • After deployment, monitor logs for the first 24 hours to confirm reduced duplicate logging behaviour.
    • Validate daily report email generation in both normal and DB-intermittent scenarios.

Enhanced Email Sending via Microsoft Graph API New Feature
As Microsoft is deprecating SMTP auth for sending emails, we have updated the solution to support sending emails through the Microsoft Graph API using Azure App Registration. This change ensures continued support for email functionality well into the future.

Multiple Acknowledgment and Completion SMS Templates New Feature
You can now create multiple SMS templates to use for new and completed requests. Previously, the solution supported only two system-configured templates. This enhancement gives Council the flexibility to personalise messages for different request categories.
Request Type to Communication Type Mapping New Feature
This new configuration option allows Council to map Request Type to Communication Type, giving you control over whether to send Email or SMS notifications based on the request type. If no mapping is defined, the solution will default to the communication type set in your CRM system.
    Blank Daily Reports Improvement
The system will now automatically detect blank reports and no longer send daily reports when there are no records to report.
    Repetitive Error Notifications Improvement
Previously, the same error email was sent on every run. The new version logs all errors in the log file but only sends a single consolidated email per day, keeping your IT Helpdesk cleaner and more manageable.

Introduction to Close The Loop Email Template Manager New Feature
The Email Template Manager provides councils with the control and flexibility to create and manage multiple email templates for use within the Close The Loop tool.
Configuration Centralized in Dedicated Preetech Database Improvement
All configuration settings have been migrated to a dedicated Preetech database. This change paves the way for a new Admin user interface, enabling council-nominated administrators to manage attributes directly without needing to restart the solution.
Support for Multiple Alert Email Addresses Improvement
Alert notifications can now be sent to multiple email addresses by specifying them as a comma-separated list.

Null Reference for “To Email” When Writing to Log File Bug Fix
Fixed an issue where a null reference occurred if the “To Email” field was empty when writing to the log file, preventing service interruptions and ensuring accurate logging.
Incorrect Log Entry Label for SMS Sent Bug Fix
Corrected an issue where SMS send events were incorrectly logged as “Email Sent.” The log now accurately reflects “SMS Sent” for SMS delivery events.

Duplicate Subject Recorded for SMS Failures Bug Fix
Resolved an issue where duplicate subject lines were being recorded for SMS failures, ensuring cleaner logs and more accurate reporting.

Additional Configuration for SMS Provider Settings New Feature
Added new configuration options to support SMS functionality, allowing councils to customise SMS provider settings for improved flexibility and integration.
Error Email Notifications for SMS Failures Improvement
The system now sends error notifications to the council’s nominated email address whenever an SMS delivery fails, enabling faster issue awareness and resolution.

Remote Server Cannot Be Reached Bug Fix
This issue occurs when the integration tool is unable to establish a connection with the remote server. This problem has been fixed in this version.
Enhanced error handling during solution startup Improvement
Enhanced error handling has been implemented to capture and log issues that occur when the service starts. This ensures quicker diagnosis and resolution of startup-related problems.

Introduction to an enhanced version of the Close The Loop Tool Improvement
We have introduced the Close The Loop tool to streamline the process of following up on customer requests. This tool helps councils efficiently track, manage, and close feedback loops, ensuring timely and consistent communication.
